Off-the-shelf software or custom software? An honest comparison

Every SME runs into it sooner or later: the standard package that once worked perfectly starts to constrain the business, or you start a new project and wonder whether you really need custom software. The honest answer is: both have their place. This article compares the two options in the same way we would discuss them in a first conversation.

The five differences you feel

Getting started

Off-the-shelf software: quick to launch and immediately usable. You activate an account, migrate your data and can start working.

Custom software: analysis and development come first. Often the first usable version goes live after the first month. That lead time is not wasted time. It is when the software is shaped around how you work. But if you need something running tomorrow, a package is faster.

Fit with your processes

Off-the-shelf software: you adapt your way of working to the package. For standardized processes, that is not a problem: accounting is accounting.

Custom software: the software adapts to how you work. You mainly feel that difference where your approach differs from the standard, exactly where Excel and email workarounds tend to appear.

Integrations

Off-the-shelf software: limited to what the vendor provides. If the integration with your ERP, web shop or accounting system does not exist, you are left exporting and retyping.

Custom software: connected to your existing systems in the way your process needs. Information is entered once and stays consistent everywhere.

Changes

Off-the-shelf software: you wait for the vendor's roadmap. Your improvement request competes with those of thousands of other customers.

Custom software: you decide what changes and when. The priorities of your software follow the priorities of your business.

Costs

Off-the-shelf software: a licence per user or per month, which increases as you grow. Cheap to start, but the cost grows with your team, not with the value you get from it.

Custom software: a comparable monthly cost, but the software evolves with your organization. The price follows the pace of change, not the number of users. And the software is yours. The process improvements built into it are not available to your competitor.

When should you choose custom software?

  • When your way of working determines your advantage. The layer above accounting and payroll, where a package serves everyone in the same way.
  • When software itself can be your competitive advantage. Software that exists only once cannot be bought by your competitor.
  • When your processes no longer fit a package. Too many workarounds, too many systems side by side.

And when should you not?

For accounting, payroll and other highly standardized domains, a standard package is usually the right foundation. Building custom software where a package is perfectly adequate is an investment without a return. You will hear that advice from us too.

Most organizations therefore do not end up with one or the other, but with a combination: standard packages as the foundation for standardized domains, with custom software on top for the processes that make the difference, connected cleanly so everything works as one whole.
