Custom CRM development

dotNET lab builds custom CRM systems for SMEs in Belgium, or extends the CRM you already have: client management that works the way you sell, connected to your accounting software, ERP or webshop.

One client view for your whole team, from first contact to invoice. And because the CRM talks directly to your other systems, that view is always right.

The problem

Sound familiar?

The question for a CRM rarely starts with software. It starts with client knowledge getting scattered.

Illustration: an employee leafs searchingly through a notebook among loose post-its.
  • “Who spoke to Janssens last?” Nobody remembers exactly.
  • “Which Excel has that phone number?” Three lists later you find three versions.
  • Quotes go out, but the follow-up trails off. Who calls back, and when?
  • Every salesperson works their own way. When someone leaves, the client knowledge leaves with them.
  • Your current CRM charges per user. Every growth spurt makes it more expensive.

Explained

What is a custom CRM?

A custom CRM is a client management system built around your sales process: leads, quotes, client files and follow-up the way your team works, without superfluous fields or workarounds.

CRM stands for customer relationship management: everything about your clients and prospects in one place, from first contact to after-sales follow-up.

Custom does not always mean starting from zero. Sometimes we build a fully own CRM, sometimes we integrate and broaden the package you already use. Both tracks come out of the same advisory conversation.

Technically it is a web application: your team works in the browser, at the office or on the road, always in the same current version.

Two tracks

Build new, or extend what you have

Two tracks, one starting point: your sales process. Which track fits follows from the analysis.

Building a custom CRM

An own system around your way of selling. Everything your team needs in it, nothing that gets in the way. A one-time investment, no per-user licences, and the software is yours.

For unique processes, heavy integrations or teams that have outgrown their package.

Extending your existing CRM

Does your team already work in Teamleader or another CRM package? Then we do not simply replace it. We connect it to your accounting software, ERP or webshop and build the custom layer next to it for what the package cannot do.

For those who want to keep the package, but feel its limits.

Building blocks

What can a custom CRM do?

The content follows your sales process. These are the building blocks that come back most often.

Leads and pipeline

Every opportunity visible, from first contact to deal, in the steps of your sales process.

Client files

All data, appointments and history per client in one place, for your whole team.

Quotes and contracts

Draw up, follow up and renew, with the right prices and versions attached.

Follow-up and tasks

Who calls back, and when? The system guards the follow-up, not your memory.

Email and calendar

Emails and appointments attach automatically to the right file.

Reporting

Revenue, pipeline and follow-up in dashboards that are right, without monthly cutting and pasting.

Integrations

Connected to your accounting software, ERP and webshop

A CRM without integrations becomes a second island next to your other systems: double data entry, outdated data and a client view that is never quite right.

Invoices in Exact Online, accounting in Odoo, orders in your webshop: we connect the CRM directly to what is already running. We have hands-on experience with Odoo integrations.

That makes the CRM the place where everything comes together: what has been sold, invoiced and paid, per client.

And secure: roles and permissions determine who sees what, over encrypted connections and hosting you stay in control of.

Is your package not listed? As long as it has an API or an export option, we can work with it.

  • Client files fill themselves with invoices and payments from your accounting software.
  • Quote approved? The order flow starts immediately in your ERP or webshop.
  • Emails and appointments attach automatically to the right client file.
  • One client view for everyone from first contact to invoice.

The trade-off

CRM software or a custom CRM?

Not every team needs custom software. This is how you weigh it up:

A custom CRM wins when
  • Your sales process does not fit the template

Off-the-shelf CRM software does not know your flow; custom software starts precisely there.

  • Information from several systems has to come together

Quotes, invoices and payments from your accounting software, orders from your webshop: one client view.

  • Per-user licence costs keep climbing

With custom software you pay once and the software stays yours. No extra invoice per additional salesperson.

A standard CRM suffices when

Your sales process is simple and proven, a package such as Teamleader or Pipedrive covers what your team needs, and starting fast weighs more than own processes.

Is that you? Then a package is the fastest route. And if you hit its limits later, extending is our second track.

Drawing the line

CRM or ERP?

A CRM manages your clients and your sales: contacts, quotes and follow-up. An ERP manages your internal operation: purchasing, stock, planning and administration.

Many SMEs eventually need both, connected. Start on the side where the most time is lost today.

Approach

How a CRM project runs

No big bang after months of silence. The core is up quickly, and your team simply keeps selling with it in the meantime.

  1. 01

An intro call of 30 minutes

You tell us how you sell and follow up today, and where it pinches. Just a conversation, no sales pitch.

  2. 02

A clear answer within two working days

You hear which track fits: a custom CRM, extending your existing CRM, or simply a package. A figure follows from the analysis.

  3. 03

    Analysis: sharpening the core together

Which part of your sales process do we tackle first, and which systems do we integrate with? Only once that scope is fixed do we put a price on it.

  4. 04

    Building per program goal

Every month we deliver a concrete piece of working software. The core, for example client files and pipeline, is often there after the first program goals. You adjust based on working software.

  5. 05

    Go-live, training and support

We put the CRM live with your existing client data, train your team and remain available for extensions.

Costs

What does a custom CRM cost?

A fixed price list does not exist. What you invest follows from three things:

Starts from

Like all our custom software

€9,500

per program goal, delivered every month

A fixed budget per program goal. After each delivery you decide: keep building, pause or stop.

Included per program goal

  • Development and program management
  • Support during the build
  • AI-agent usage during development
  • No licence costs

A delivery every month: a concrete piece of working software

* We also charge a one-time program setup of €6,000: that is where we get to know your organisation and pin down the scope of the first release.

What else determines the price:

  1. The pace that suits your sales: how many program goals in a row, and how quickly your team has to work with it.
  2. The ambition and size of the project: from pipeline and files to a full quote and order flow.
  3. The number of systems we integrate with: your accounting software, ERP, webshop or existing CRM.

We aim for growing along: the CRM has to accelerate your sales.

The core of a CRM, for example client files, pipeline and follow-up, often fits in the first program goals. You extend only once that core has proven itself.

After go-live no licence meters run along with your team. Maintenance and further build-out you plan per program goal, whenever it suits you.

FAQ

Frequently asked questions about custom CRM

What is a custom CRM?

A custom CRM is a client management system built around your sales process: leads, quotes, client files and follow-up the way your team works. It integrates with your accounting software, ERP or webshop, so the client view is always current.

What does CRM stand for?

CRM stands for customer relationship management: one system for everything about your clients and prospects, from contact details and conversations to quotes and follow-up.

What does a custom CRM cost?

That depends on your pace, the ambition of the project and the number of integrations. We work in program goals: every month we deliver a concrete piece of working software, from €9,500 per program goal, with a one-time program setup of €6,000 beforehand. The core of a CRM often fits in the first program goals. After an intro call you hear within two working days which track fits; the figure follows from the analysis.

Custom, or a standard CRM such as Teamleader or Pipedrive?

A standard CRM suffices for a simple, proven sales process and a small budget. Custom wins for unique processes, heavy integrations or licence costs that keep climbing. And there is a middle way: keeping your existing CRM and integrating and extending it where it stops.

Can you extend or integrate our existing CRM?

Yes, that is a full track of its own. We connect your current CRM to your accounting software, ERP or webshop and build the custom layer next to it for what the package cannot do. You keep what works and fix what pinches.

Can I build a CRM myself, for example in Excel?

For a handful of clients a list works fine. It breaks as soon as several people sell at the same time: versions diverge, follow-up disappears and integrating with your accounting software or webshop does not work. That tipping point is usually the moment to move to a real CRM, custom or packaged.

How long does a custom CRM take?

The core, for example client files and pipeline, is often there after a few weeks. After that we extend in phases with quotes, integrations or reporting, at the pace your organisation can handle. Your existing client data comes along.
